Booking terms

Booking a course should be simple and fair, with no surprises in the small print. These terms set out what to expect when you book, and what happens if your plans change.

Last updated: 5 November 2026

These terms apply when you book a place on a Vant Academy course. By booking with us, you agree to these terms.

These terms cover every course we run. Details that vary from course to course, such as what’s included, what to bring and the minimum group size, are on each course’s page. If we run a course privately for your organisation, we’ll agree terms with you separately.

“We”, “us” and “Vant Academy” mean Vant Enterprises Limited (company number 13411198), trading as Vant Academy. “You” means the person or business making the booking.

1. What’s included

Each course page sets out what’s included. As a minimum, your fee covers:

  • a place on the course you booked
  • course materials and handouts
  • additional refreshments as advertised

Unless the course page says otherwise, your fee doesn’t cover travel, parking, your own device, or any paid subscriptions to AI tools.

2. Before you come

Each course page tells you what to bring and any accounts to set up before the day, and we’ll email you full instructions after you book. If you arrive without what you need, we’ll do what we can, but we can’t guarantee you’ll get the full hands-on benefit of the session.

Please tell us about any accessibility needs when you book, or as soon as you can after. We’ll do our best to make the session work for you.

3. Booking and payment

Bookings are made and paid for through Eventbrite. Your booking is confirmed when Eventbrite sends your confirmation email. Eventbrite’s own terms also apply to the booking and payment process.

The price shown is per participant, and it’s the full price you pay. There’s no booking fee on top. We’re not VAT registered, so there’s no VAT to add.

4. If you can’t make it

Life happens. You have three options:

  • Send someone else. You can pass your place to a colleague or anyone else at any time, at no cost. Tell us their name and email before the course starts, or update the attendee details in your Eventbrite order.
  • Move to another date. You can move to a later date of the same course for free, up to 7 days before your course starts, subject to availability. You can do this once per booking, either in Eventbrite or by emailing us.
  • Cancel for a full refund. You’ll get your money back in full if you cancel:
    • at least 7 days before your course starts, or
    • within 14 days of booking, as long as your course hasn’t started.

If you cancel later than that, or don’t attend, we can’t give a refund, but you can still send someone else in your place.

If your course starts less than 14 days after you book, the 14-day window ends when your course starts. After that, you can’t cancel for a refund.

To cancel or transfer, email hello@vant-academy.co.uk or cancel through Eventbrite.

5. Refunds

Refunds are always for the full amount you paid. We issue them through Eventbrite to your original payment method within 14 days of your cancellation, and your bank usually takes a further 5 to 7 working days to show the money.

6. If we need to cancel or change a course

Each course needs a minimum number of participants to run. Unless the course page says otherwise, that’s 4. If a course doesn’t reach its minimum, we’ll tell you at least 7 days before it starts.

Occasionally we may have to cancel at short notice, even on the day, for reasons outside our control, such as trainer illness or a problem at the venue. If that happens, we’ll contact you straight away by email and text message.

Whatever the reason, if we cancel you can choose:

  • a free place on another date, or
  • a full refund.

We may occasionally need to change the venue, trainer or timings. If a change is significant and doesn’t suit you, you can request a full refund.

We’re not responsible for travel or other costs you’ve paid if we cancel or change a course, so please book refundable travel where you can.

7. What our training is, and what it isn’t

Our courses explain how the law, including data protection law, applies to using AI in a small business. They also give practical, general guidance on using AI safely, responsibly and productively.

What we don’t do is advise on your business’s particular circumstances. Our training is intended to offer general information and guidance, not legal advice tailored to you. If you need advice on your own situation, you should speak to a solicitor or another suitably qualified professional.

You’re responsible for how you use AI tools in your business after the course, and for complying with the terms of any tool you sign up to.

8. During our training sessions

  • Practice data: during hands-on exercises, please use made-up examples. Don’t enter real customer data, personal data or confidential business information into AI tools during the session.
  • Behaviour: we want every session to be a friendly, welcoming place to ask questions. We may ask anyone whose behaviour disrupts the session or makes others uncomfortable to leave, without a refund. Threatening or discriminatory behaviour will not be tolerated.
  • Photos: we won’t photograph or film you without asking first.

9. Our materials

Course materials remain our intellectual property. You’re welcome to use them within your own business and share them with your colleagues. You should not resell them, republish them or use them to run your own training.

10. Our liability

We deliver our courses with reasonable care and skill.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn’t allow us to limit. If you’re a consumer, nothing here affects your statutory rights.

Otherwise:

  • our total liability to you for any booking is limited to the price you paid for it
  • we’re not liable for indirect losses, or for any loss of profit, revenue, data, business or opportunity, including losses arising from decisions you make about using AI in your business

11. Complaints

If something isn’t right, tell us at hello@vant-academy.co.uk. We’ll reply within 5 working days and do our best to put it right.

12. Changes to these terms

We may update these terms from time to time. The terms that apply to your booking are the ones published when you booked.

13. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction over any dispute.
